Sharing Dynamics 365 Finance and Operations views with team members can boost productivity and collaboration.
Dynamics 365 Finance and Operations views are customizable and can be tailored to specific roles and tasks. This allows team members to focus on the information that matters most to them.
Sharing views can be done in various ways, including through the "Share" button in the top-right corner of the screen.
By sharing views, team members can work together more efficiently and make informed decisions.
Saving and Sharing
To save a view, navigate to the form or grid, modify it by adding columns, adding fields, rearranging columns, and then save the view. It's that simple.
You can also share a saved view in two ways: by copying it to individual users or publishing it to security roles. Publishing to security roles is the best practice, as it saves you from redoing the process for every new hire.
Here are the steps to publish a saved view to security roles:
- Navigate to System administration > Setup > Personalization.
- Click the Personal views tab.
- Find the desired personalized view and select it.
- Click Publish in the menu.
- Type a name for the view and toggle Publish as default view to Yes.
- To publish it to everyone in a certain security role, click Add in the Publish to people in these roles section, and then enter the desired security role.
- Click publish.
Note that there may be a delay before the view is available to users, so it's recommended to close your browser and restart your machine to make the view appear.
You can also share a personal view by copying it to individual users. However, this method is not recommended as it's more time-consuming.
Here's a list of privileges you can assign when sharing a view:
Access Control
Access Control is a crucial aspect of managing who can see your personal views in Dynamics 365 Finance and Operations. You can change which security roles have a view by navigating to the Published Views tab and selecting the desired view.
To do this, find the view you want to modify and select it. Then, click Republish in the menu to open a popup where you can view and edit the security roles currently assigned to that view.
In this popup, you can also remove roles if needed. Once you've made your changes, click Publish to apply them. If you make no changes, simply click Cancel to close the popup.
Here's a step-by-step guide to help you through the process:
- Navigate to the Published Views tab.
- Find the desired view and select it.
- Click Republish in the menu.
- View and edit the security roles currently assigned to that view.
- Click Publish to apply changes or Cancel to close the popup.
