To get started with p2e, you'll need to configure and set up a few things. First, you'll need to generate a P2E input file containing bib record numbers. This file will serve as the foundation for your migration.

There are three key inputs to configure: P2E_LINK, P2E_NOTE, and P2E_PROVIDER. You'll find these options on the Questionnaire tab of the migration form. To identify which locations are e-locations, check the Migration Form Location mapping tab.

Here's a quick rundown of the three inputs you'll need to configure:

  1. P2E_LINK: This option is used to link records.
  2. P2E_NOTE: This option is used to add notes to records.
  3. P2E_PROVIDER: This option is used to specify the provider of records.

To ensure a smooth migration, identify which locations are e-locations in the Migration Form Location mapping tab. This will help you map your existing e-locations to their corresponding Alma locations.

Next, configure the P2E_LINK, P2E_NOTE, and P2E_PROVIDER options on the Questionnaire tab of the migration form. These options will help you link your resources, add notes, and specify providers.

If you're migrating portfolios, be aware that they can only be migrated as standalone resources in P2E, with no relationship to any package. If your portfolios are currently part of a package in your ILS, it's recommended to start managing them as part of a package in Alma instead.

Generate Input File

To generate the input file for P2E processing, provide a textual file with ILS BIB numbers, one bib record per line. The bib records should represent electronic resources and their types, either portfolio or database.

The input file should be provided along with other input files for the migration process. It's essential to specify if the newly-generated resource should be a Portfolio or Database, as these are the only two options during P2E processing.

During P2E processing, resources must be categorized as either a portfolio or a database. Remember that databases are essentially zero-title packages.

Resources generated from P2E are migrated as local, meaning they are not linked to the CZ/Knowledge Base entry for the resource. If you want the resource to be linked to the CZ, you'll need to do it manually after go-live or migrate it from your link resolver instead.

No service is created when a resource is generated in P2E.

Identify E-Locations in Migration Form

You'll want to mark the location in the Alma Location mapping tab that indicates an electronic resource. This will specify which resource(s) to change to electronic for cases where there is physical and electronic material linked to the same bibliographic record.

This process is crucial for cases where there is physical and electronic material linked to the same bibliographic record that was specified in the p2e input file.

Duplicate Active Portfolios

Creating duplicate active portfolios is a straightforward process. Simply go to the "Manage Portfolios" section and select the portfolio you want to duplicate, then click on the "Duplicate" button.

You can also duplicate a portfolio by going to the "Portfolio Settings" page, clicking on the "Duplicate" button, and selecting the new portfolio name and description. This is useful when you want to create a new portfolio with the same settings as an existing one.

Be sure to update the new portfolio's settings, such as the investment strategy and risk tolerance, to reflect any changes you want to make. This will ensure the new portfolio is tailored to your specific needs.

You can relink a Purchase Order Line (POL) associated with a P2E resource to a different Community Zone (CZ) record.

To do this, you'll need to identify the migrated record and the CZ record you want to link the POL to. The migrated record will have the POL, and you can select the hyperlink to view orders linked to this record.

The next step is to click Change Bib Reference, which will open a Repository Search with the title and ISBN search. You may need to simplify the search to find your Community Zone record, so you can select the correct record.

Once you've confirmed the order has been linked to the correct record, you can add the order to the CZ Portfolio by clicking "Portfolio List" and then "Edit Portfolio".

You can search for the title or POL in the PO Line field, and then save the changes. Be sure to filter the search to include all POLs, not just active ones, if the POL you're relinking is closed or not considered active by Alma.

The final step is to delete the P2E Portfolio and either delete or suppress the P2E Bib record.

Linking ILS-migrated portfolios to your Community Zone (CZ) is a crucial step in configuring your Alma system.

ILS-migrated portfolios can be linked to the wrong records, which can cause issues with your acquisitions data. This is especially true if you used Voyager to keep track of acquisitions data relating to electronic resources.

To relink a portfolio to the correct record, start by searching for the title you want to relink. For example, if you're looking for the title "Gale e-commerce sourcebook", you'll need to search for it in the system.

Once you've found the migrated record, select the hyperlink to view the orders linked to it. Then, click on "Change Bib Reference" to link the record to the correct CZ record.

To confirm that the order has been linked to the correct record, check the repository search results. You may need to simplify your search to find the correct CZ record.

Here are the steps to move the POL from one portfolio to another:

  1. Search for the title you want to relink
  2. Select the migrated record and click on "Change Bib Reference"
  3. Confirm the order has been linked to the correct record
  4. Add the order to the CZ portfolio
  5. Delete the P2E portfolio and either delete or suppress the P2E bib record

Remember to simplify your search if you're having trouble finding the correct CZ record.
